Staff Management

Add team members to your store, control what they can access, and manage their details from the Staff Management page.

The Staff Management page is where you add the people who help run your store and control what each of them can do. Open it from Staff Management in the dashboard sidebar.

If you haven't added anyone yet, the page shows No Available Data until you create your first staff member.

The toolbar

  • Search Staff. Find a staff member by name.
  • Column. Choose which columns show in the table.
  • Sort. Change the order the staff list is shown in.
  • Create Staff Member. Add a new team member (see below).

Column

Click Column to show or hide any of these columns: User, Email, Permissions, Gender, Phone, Status, and Actions.

Sort

Click Sort to order the list by First Name, Last Name, Email, Phone, or Gender, in Ascending or Descending order.

The staff list

Each row is one team member, with:

  • User. Their name.
  • Email. Their email address.
  • Permissions. What parts of the dashboard they can access.
  • Gender. Their gender.
  • Phone. Their phone number.
  • Status. Whether their account is active.
  • Actions. Options to manage that staff member.

Adding a staff member

Click Create Staff Member to open the Add Staff Member form and invite someone new.

Staff Details

Fill in the person's basic details:

  • First Name (required).
  • Last Name (required).
  • Email (required). The invitation is sent to this address, so make sure it's correct.

Store Permissions

Under Store Permissions, choose exactly what this person is allowed to do. Permissions are grouped into expandable sections — click the + on any group to open it and turn on the individual permissions inside:

  • Order Management
  • Product Management
  • Analytics & Reports
  • Store Setting
  • Staff And Customer Management
  • Website Builder
  • Coupons
  • Plugins

Use the Search permissions box to jump straight to a specific permission instead of scrolling the groups.

When you're done, click Add Staff Member to send the invitation, or Cancel to go back without adding anyone.

Only turn on the permissions each person actually needs. A staff member can only see and do what you grant here — everything else stays hidden from them.

How the staff member joins

Once you add a staff member, Orderain emails an invitation to the address you entered. The staff member completes the setup themselves:

  1. Accept the invitation. The email, titled You're Invited!, shows which shop they've been invited to and their role (Staff Member). They click Join the Team to accept. The invitation link expires after 7 days.
  2. Generate a password. The link opens the Generate Your Password page, where they enter and confirm a new password, then click Generate Password.
  3. Log in. With their password set, they sign in from the Staff Login page using their email address and password.

If a staff member forgets their password

On the Staff Login page, the staff member clicks Forgot Password, enters the email address they joined with, and submits. Orderain emails them reset instructions. On the Reset Your Password page they enter the OTP from that email along with a new password, then click Reset Password to regain access.

What staff members can do after logging in

After signing in, a staff member sees All Shops — every store you've assigned them to. They open a shop to work in it.

Inside an assigned shop, they only see the areas their permissions unlock. For example, a staff member with product permissions sees Products (with All Products, Reviews, and Catalogue) and can perform the granted tasks — such as adding a product with Add New Product. The My Shop overview shows shop details like Shop Status, Shop Permissions (how many are assigned), Domain Status, and Setup Progress.

The menus and actions a staff member sees depend entirely on the permissions you granted when you added them. If they can't find a page or button, it's because that permission isn't turned on — edit the staff member from the Staff Management page to adjust their access.
