Inventory

Track and update stock levels for every product and variant from the Product Inventory page.

The Product Inventory page shows how many units you have of every product, and lets you update those numbers. This is where you keep your stock counts accurate so customers can only buy what's actually available. Open it from Products → Inventory in the dashboard sidebar.

The toolbar

The buttons at the top help you find products and update stock in bulk:

  • Inventory name. Type a product name to find it quickly.
  • Show low/out of stock products. Tick this box to see only the products that are running low or already out of stock, so you know what to restock.
  • Filter. Show stock for only certain categories.
  • Bulk Update. Update lots of products' stock at once by uploading a file. The arrow next to it also has Export Inventory, which downloads your current stock as a file.

Filter by category

Click Filter to open the Select Categories dialog. This lets you show stock for only the categories you pick, instead of your whole inventory.

  • Tick the checkbox next to each category you want to see (for example Beverages, Fruits, or Bakery Bread). You can pick more than one.
  • The bottom left shows how many categories you've picked, for example 0 selected.
  • Click Apply to show only those categories, or Cancel to close without changing anything.

Bulk update inventory

Click Bulk Update to open the Bulk Update Inventory dialog:

  • Under Upload Inventory Data, select a CSV or Excel file containing your inventory information.
  • Drag and drop your file into the upload area, or click to browse.
  • Click Update to import the file, or Cancel to close.

Export inventory

Click the small arrow next to Bulk Update to open a menu with Export Inventory. Clicking it downloads your current stock as a file, this is handy if you want to edit it offline (in a spreadsheet, for example) and re-import it later with Bulk Update.

The inventory list

Each product is a row. If a product comes in different variants (like sizes or colors), each variant gets its own line. The columns are:

  • Product. The product's picture, name, and category. If it has more variants, a More link shows the rest.
  • Unit/Variant. Which unit or variant this line's stock is for (for example g, or red | Medium).
  • Reserved. Hover the icon to see: "Product(s)/variant(s) reserved for pending orders. This figure represents items ordered by customers but not yet confirmed or processed."
  • Total Inventory. Hover the icon to see: "The total quantity of product(s)/variant(s) in stock, including both reserved and available items." Click the up/down arrows in this box to set stock per warehouse (see below).
  • Available Stock. Hover the icon to see: "Total Inventory minus Reserved for Pending Orders. This represents the quantity of product(s)/ variant(s) currently available for sale."
  • Selling Price. The price this variant sells for.

You can type directly into the Reserved, Total Inventory, or Available Stock boxes to update the numbers for that line.

Setting stock per warehouse

Clicking the up/down arrows on a row's Total Inventory field opens the Add Inventory dialog, where you set how much stock sits in each warehouse:

  • Warehouse (required). Choose a warehouse, for example Main Warehouse.
  • Quantity (required). The number of units held in that warehouse.
  • add more. Add another warehouse row to split stock across locations.

Click Save to apply, or Cancel to close without changes.

Paging through the list

At the bottom of the page, rows per page lets you choose how many products are shown at once: 10, 25, 50, or 100. Pick a bigger number to see more products on one screen, or a smaller number to keep the list short.

Choose how many products to show per page.
Use Show low/out of stock products to quickly find what needs restocking.
